The Annual General Meeting of the ISS Parent Teacher Association (PTA) will take place on Wednesday 24th September. This is an important meeting where the officers of the Executive Committee are elected. Solveig Hagberg, the current Chair of the PTA Executive Committee will be sending you an invitation to attend the meeting soon - nominations for positions on that committee can be made on the form at the bottom of this information sheet.
I thought I would take this opportunity to let you know the role of the PTA in the school; to give an outline of the positions on the Executive Committee - and what is involved; and to encourage parents to put their names forward for these positions.
The Role of the PTA at ISS:
The ISS Parent Teacher Association exists to support the school by fostering a spirit of cooperation among parents and teachers as they work together for the benefit of the school community.
It is administered by a committee of volunteers which has a written constitution. The officers of the Executive Committee are elected at an Annual General Meeting (AGM) which is held in September each year. The Executive Committee meets regularly to discuss affairs of the Association and to plan events. The Chair of the Executive Committee conducts the meetings of the Committee, the monthly PTA Meetings and is responsible for the running of the Association.
It supports the school by organizing a series of events during the course of the year. These include regular monthly meetings where guest speakers talk on topics related to the school and reports are given by the Headmaster and the Chairs of various joint committees - such as Canteen and Uniform.
It also organizes social events, such as the PTA Social Evening - and fund raising events, such as the annual PTA Fair. Additional funds are also raised by the subscription that parents pay with the school fees.
The funds raised are used to make purchases of equipment for the school. These are items which are additional to what would normally be expected to be provided by the school. Support is also given to Community Service projects (such as house building in other countries) in which the school is engaged. Application for funding is made through the Building Heads and Headmaster. Suggestions from the parents are made through the PTA Committee and the Chair of the PTA.
The PTA meetings are not a forum for discussing the day-to-day administration of the school. Any such issues should be raised with the relevant Building Head in the first instance. Should you need help with this, please contact pta at iss.edu.sg
Office-bearers:
The positions available on the Executive Committee are:
a. The Chair - responsible for: chairing all the meetings of the PTA and the Executive Committee; taking an active role in all issues concerning the PTA; supporting and advising all members of the PTA; attending school functions; and presenting a report at the Annual General Meeting which summarizes the PTA activities.*
b. The Vice-Chair - responsible for: assisting the Chair and substituting for the Chair, if he/she is absent.*
c. The Secretary - responsible for: recording the minutes of all meetings and presenting them in an acceptable format; preparing agendas prior to meetings; and presenting minutes and agendas to the chair for approval prior to distribution.*
d. The General Secretary - responsible for: coordinating publicity of PTA events; coordinating social functions on behalf of the PTA; liaising with the Treasurer and Assistant Treasurer as to expense requirements; chairing any sub-committees relating to the above functions; and assisting in the production of PTA Newsletter and to meet deadlines.*
e. The Treasurer - responsible for: maintaining a complete and accurate record of the PTA's financial business; preparing and presenting a written report at the Executive Committee Meetings stating the PTA's current financial status; receiving and keeping records of any payments made to the PTA for membership fees and any other financial details that the PTA may enter into; issuing receipts; organizing registration of signatories at the bank; issuing of cheques on behalf of the PTA; and all related financial aspects.*
f. The Assistant Treasurer - responsible for: assisting the Treasurer and substituting for the Treasurer, if he/she is absent.*

Qualities required:
As well as being able to undertake the requirements of the position, the office-bearer needs to be committed, to be able to work as part of a team - and to have a sense of humour!
